Diagnostic Imaging Accreditation Timeframes

RadSite would like to remind outpatient imaging suppliers of several key accreditation timeframes that are established by RadSite and the Centers for Medicare and Medicaid Services (CMS):

  • Application Timeframes. Accreditation timeframes have been established by RadSite and approved by CMS. They are identified in RadSite’s accreditation agreement and policies. See the table below for a summary of this information.
  • Full Accreditation. The full accreditation cycle is three (3) years.
  • Provisional Accreditation. Existing accredited imaging facilities that are opening a new imaging location or acquiring a new advanced diagnostic imaging system can qualify for a 120-day provisional accreditation. See this link to review the related CMS regulations.
  • No Backdating of Certificates. CMS strictly prohibits the backdating of accreditation start dates. If there is a lapse in an imaging supplier’s accreditation due to failure to submit the application within the appropriate timeframe, RadSite cannot backdate the accreditation start date to cover the lapsed period. Accreditation begins upon approval from the RadSite Accreditation Committee. See this link for the related CMS regulations.
  • Addressing Gaps in Accreditation. If an accredited organization has a gap in accreditation, RadSite will support the imaging supplier’s appeal with CMS, the Medicare Administrative Contractor (MAC), or private payer. Please note that, due to federal regulations, CMS rarely grants allowances for any lapses in accreditation.

Additional Helpful Tips

Below is some additional guidance to promote an effective accreditation review process:

  • Be Proactive. Imaging suppliers should proactively manage and track their RadSite accreditation applications.
  • Assign an Accreditation Coordinator. Applicants should appoint one or more staff to coordinate the accreditation review process, including communication with RadSite.
  • Utilize RadSite Communications. RadSite sends out regular email reminders to applicants. Please ensure that the designated contact is someone currently at the facility who is overseeing the accreditation process. If there is a change of personnel, notify RadSite so that the correct contact information is available. RadSite should be notified of any portal account holder who is no longer with the applicant so the user’s role can be updated.
  • Check the Physics Assessment. RadSite requires that the last annual physics report and phantom images be uploaded as part of the application. RadSite requires that the physics testing and report be completed within 12 months of the date of submission of the application.
  • Check the Image Submissions. RadSite reviews three or more clinical studies for each ADI system, depending on the number of specialties undergoing accreditation. All studies must have been completed within six months of the date of submission of the application.
  • Attend an Information Session. If you are new to RadSite (or need a refresher), schedule an information session. RadSite staff will review the applicable standards, review process and accreditation portal. This confidential session is not required to apply for accreditation.
  • Take Advantage of Customer Service. RadSite values connecting with applicants during the review process. RadSite Accreditation Timeframes

120 days Initial Application The Applicant shall have up to one hundred and twenty (120) days to complete the initial desktop portion of the application via the online Accreditation Portal after the ADI Accreditation and Business Associate Agreements are signed and payment is made.
120 days RadSite Review RadSite shall have up to one hundred and twenty (120) days to complete the review process. Additional time will be afforded by RadSite when the Applicant is given additional time to respond to a Request for Additional Information (RFI) or is put in a Corrective Action Period.
30 days Expedited Review Expedited reviews are available upon request. Additional accreditation fees will apply. RadSite retains sole discretion in determining when an expedited review is an option and cannot guarantee accreditation within a certain period of time.
30 days Request for Information (RFI) An Applicant has up to thirty (30) days to respond to an RFI.
3 Years Full Accreditation The RadSite accreditation cycle is three (3) years. Accreditation begins only after the review process has been completed and the application approved by RadSite’s Accreditation Committee.
60 Days/120 Days Provisional Accreditation An accredited Applicant may qualify for provisional accreditation pursuant to CMS guidelines. An applicant has sixty (60) days to submit the desktop, images, and physics associated with each ADI system. RadSite will have sixty (60) days to complete the application. The entire provisional period shall not be longer than one hundred and twenty (120) days.
Up to 60 Days Corrective Action The Applicant may be granted up to sixty (60) days to respond to a Corrective Action.
